Creating a Secure eEnvelope

Acrobat 7 provides a number of new security capabilities, including a feature called eEnvelope that builds on the ability to create PDF files from a diverse set of document and file types. A collection of attachments can now be combined into one secure package that can be delivered via e-mail or other electronic transfer methods.


1. Figure 1: To utilize the eEnvelope method, in Acrobat 7 choose: Document > Secure > Secure PDF Delivery

2. Figure 2: In the first dialog box, click the Add Files to Send button to select the electronic files to be included in the package, and then click the Next button.


3. Choose one of three available templates:

  • Interdepartmental envelope
  • eEnvelope with date stamp
  • eEnvelope with signature

For this example, choose the interdepartmental envelope, then choose Complete the eEnvelope Manually and click Next.


4. Choose or create a new security policy:

  1. Choose one of two available policies (select Show All Policies)
    1. Encrypt for certain identities using certificates
    2. Restrict opening and editing using passwords
  2. Create and save a new policy. For this example, click the New Policy button.


5. Figure 3 - In the next window, choose Use Passwords and click Next.


6. Figure 4 - Give your new policy a meaningful name and enter a brief description. Check the Save Passwords with the Policy box and click Next.


7. Figure 5 - In the next window, enter the password you want to apply — in this example, a password required to open the package — and confirm the password and click Next.


8. Review the Policy Summary window and make any changes. Click the Finish button to add the new policy to the list of available policies. Then click Next.


9. You can personalize your eEnvelope by adding the name of the intended recipient and any special instructions or other important details.


10. Figure 6 – IMPORTANT: Be sure to save the Secure eEnvelope package — to apply the intended security — before closing the document.


11. Send the eEnvelope as an e-mail attachment or make it available for electronic access. When the recipient opens the package — with either Acrobat 7 or Reader 7 — they’ll see the interdepartmental envelope listing all attachments. They’ll need the password to open them.
