Acrobat 9 Pro Email Review Tracker and Commenting not working properly

I have recently upgraded from 8 Pro to 9 Pro. It's running on XP service pack 3. I have Outlook 2003.

I have initiated a few reviews by:

Comments > Attach for email review

and then followed the wizard as I usually would in 8 Pro.

So far, nothing has appeared in my Review Tracker. Reviews returning with comments are not merging into the master document. I am doing this manually by using the merge option in the Comments Menu.

My pdfs are located on a shared network drive. Users have a mix of Reader 9 or Acrobat Standard or Pro 7. I have tested the email review with a colleague who has Reader 9. The commenting toolbar isn't being switched on and he doesn't get presented with an option to "send comments".

I have tried enabling the document for Commenting and Analysis in Adobe Reader although this wasn't necessary previously and it didn't work.

Why is my review tracker not working?
Why is the commenting toolbar not being enabled in Reader?
Why do the comments not merge together on the master document on return.

The whole organisation is about to move to Adobe 9 and this will become a major issue.

Regards, Marion

Marion,

When you create PDFs from Word 2003 using Acrobat 9 do you have "Create PDF/A-1a:2005 compliant file" turned on? This format disallows adding comments and reader-enabling. Try turning it off to see if it corrects the problem.

This problem has finally been resolved by Desktop Support within our organisation. They use scripts to install all software and patches across the company. They have changed the scripts but they have also made sure they've got the absolute latest version of Acrobat Writer and Reader. The loss of the email reviewing functionality actually occurred at both ends. The other, bigger, problem is that user profiles may have to be recreated. This has certainly been the case on the pc's we've used for testing. It would seem that the Window's profile hangs onto things in the computer registry such as old settings for older versions of Acrobat irrespective of whether you re-install Acrobat. The latest scripts developed by our Desktop Support should update the Window's Registry as well. Part of the reason for using installation scripts is to block contact from Adobe.
I hope the resolution of this problem helps someone else in the community.

Hi Marion,

Just this week I was working with another member on a somewhat similar issue. They were creating their PDFs from Office 2007 in Acrobat 8.1.2 and then setting up the shared review for recipients with Reader 9. They were encountering all sort of issues from the commenting toolbar not appearing to repository problems.

I also asked if the PDFs from Word were created with "Create PDF/A-1a:2005 compliant file" turned on? They were not -- yet metadata from the PDF still indicated that they were considered PDF/A files. So, we took a blank Word document and created a PDF from the same program with no problems. It would appear that something carried within the Word file was causing the problem (perhaps it was corrupt). This was a real problem because it was a Word file that everyone used as a template.

I recommending using some of the troubleshooting tips in this MS article. Starting at Method 6 since this appears to be a Word document-specific problem.

Just wanted you to be aware of this in case anything new crops up.

Also, thanks so much for posting your resolution.

I've learned something new related to this. Apparently track changes in Word has been known to cause some issues with PDFMaker 8.1.2 and this was corrected in Acrobat 9. It's possible that this has caused some of the problem as well. So, using Acrobat 9/Reader 9 should correct this issue.

I posted a question in another section about this. I would like to add that our docs are created by scanning. But we tried PDFs that had been created in several ways to ensure it wasn't the scanner creating the issue.
We also tried using the old PDFs that had been successful reviews in the past. Here is what I wrote elsewhere about our problem:
I have same problem. Our company upgraded all users to Acrobat 9. Some users have PRO, some have STD and some have Reader only. Previously, we had Acrobat 8 and assorted versions of Reader on PCs. We used Shared Review constantly. Since the upgrade to 9, we have not been able to get it to work, especially for Reader only folks. What happens is this:

1. Open PDF - check that PDF has NO security on it
2. Select menu item to ENABLE COMMENTING BY READER users (although when I checked the PDF's security after doing this, I saw that it NOW has security on it?)
3. Save PDF
4. Select to SEND FOR SHARED REVIEW.
5. Get an error that says this document cannot be sent for review because commenting on it is not allowed.

I think the menu item to Enable Commenting by Reader users is doing the exact opposite of what it is supposed to do. Instead of enabling commenting, it is putting more security on the document.

Are we doing something wrong in this new version? We desperately need to get our functionality back that we LOST when we UPgraded! HELP

What happens if you turn the following Preference off (Edit > Preferences > Documents category > View documents in PDF/A mode "Never"?
