Help needed with editing text

I'm a real novice when it comes to Acrobat. I have 6.0 Professional. How do I edit text in a pdf document that I did NOT create? I printed out the instructions on Indicating Text edits but can't get this to work. I do get the "inserted text box" and can type the information I need but then, what? I hit enter and nothing happens. Can I even edit text on a pdf file that I did not create?

Any help is greatly appreciated.

Hi,
With Acrobat 6 Professional -
Select Tools > Advanced Editing > TouchUp Text Tool
Next, click on the text line where you want to do an edit.
Click-drag to select a string of characters and let your fingers walk the keyboard.
Or, just start where you've placed the cursor.
You'll find it somewhat awkward. PDF is not a word editing/processing
format. If desired edits are few and simple the TouchUp Text Tool
will suffice. If the desired edits are more than you really want to return
to the authoring application (word processor, whatever) to make the edits.
Then produce a new output PDF.

Note that the above presumes the PDF does not have security applied that prevents such edits.

Another question; what I want is to show deleted text with brackets and a line thru it; in red. I'd like to have the inserted text show up in bold blue. Can this be done? We are not the authors of the text but have asked to submit our comments.

The means of indication for insert, delete, replace are fixed.
No brackets for delete.

Some "about"...
With Acrobat 8 the Text Edit tool provides the following edit features and indications.

--| Insert Text
...To indicate that text should be inserted, click between words or characters where you want to insert text
and then begin typing.
... An insertion caret appears and the text is added to a pop-up note.
(a post by the forum moderator states that the caret's configuration (size, etc.) is fixed)

--| Delete Text
... To indicate that text should be deletec, select the text and then press the Backspace
or Delete.
... The text is marked with a cross-out to indicate that it should be deleted.

--| Replace Text
... To indicate that text should be replaced, select the text and then begin typing.
... The selected text is marked with a cross-out, an insertion caret appears,
and the replacement text is added to a pop-up note.
(again, caret's attributes are fixed)

Open a PDF in Acrobat.
First, open the Properties Tool bar (it will be put to use later).

Select View > Toolbars > Properties Bar (Windows keyboard shotcut Ctrl+E)
Now, onto Text Edit Toolbar.

To mark up text with edits:
Add editng markups to indicate where the text should be inserted, deledted or replaced.
1. Select Tools > Comments & Markups > Text Edits > Text Edits Tool
If you have not selected "Don't show again" in the past then you are presented with the
Indicating Text Edits dialog (transcribed below).

2. Select the text you want to edit or place the insertion point where you want to add text.

3. Move the pointer over the icon that appears, and choose and option fro the pop-up
menu, or simply begin typing.

Now, with the Text Edit tool active, select any word.
Next press Backspace or Delete.
The word now has a cross out. The cursor is blinking at the end of the word.
Move your mouse to the touch the cross-out line. Click.
A box appears around the word.
AND the Propeties Toolbar is active - showing "Cross-Out" Properties; neat.
From left to right you can edit color, opacity, see the author's name & a button for "More...".
Clicking on the "More..." button causes the Cross-out Propeties dialog window to open.
There are three tabs.
Appearance, where color, opacity may be set
General, where Author, Subject may be set.
Review History, which lists any changes to the migration or review history made to the comment.

Also, while the Text Edits tool is active you can select text then return to the Comment & Markups
toolbar to access the dropdown menu for the Text Edits tool.
Choices are -
Text Edits Tool, Replace Selected Text, Highlight Selected Text, Add Note to Selected Text,
Insert Text at Cursor, Underline Selected Text, Cross Out Text for Deletion and
How To...Indicate Text Edits.

With your a PDF open, continue to select different words to use each choice on.
Once done, click in the word. Observe that the Properties Toolbar will display properties
you can edit in the Properties Toolbar.

A significant amount of customization is possible.
But, how to retain such changes?
For each of the choices available to the Text Edit tool, use the "More..." button.
For some, at the bottom of the dialog window you can select "Make Properties Default".

As these various flavors of annotations have a fixed set of sort elements you want to look at these
in Acrobat Help to see what is useful vis-a-vis customization to differentiate individuals' input.
Sort of comments (annotations) are:
Type - Page (the PDF page) - Author - Date - Color - Checkmark Status - Status by Person

Look over Acrobat's Help to understand the details of what can be done (as opposed to what
is wished to be done as "can" trumps "want" here).

On to printing Comments, Markups, Form fields, etc. to paper.
With a PDF open, select File > Print.
In the Print dialog look for "Comments and Forms:" (upper right).
Access the drop down menu and look over the choices.

About the choices (from Acrobat Help)

Hi,

I am a new user, and we have recently purchased Acrobat Standard 9. I understand there is a way to add or delete text, but I can't figure it out. I've added the TouchUpText tool, but it does nothing. then i figured out that there was no recognizable text on the PDF page, so I went to Documents / OCR recognition, which enabled the TouchUpText tool to at least SELECT text. When I typed over selected text, it was as if i were typing in a white font - it was invisible. Then when i went to select the same text, i couldn't. My cropping tool seems to work. Help! What am I not doing?

Hi there SBG,
As you observed, an image of text provides nothing for the text oriented tools provided with Acrobat to work with.
Sounds as if your OCR selection to get characters reprsentative of the text image used Searchable Image or Searchable Image (Exact).
The OCR chararcters use text rendering mode 3 (aka "invisible" text). So, you'll not "see" it or be able to play with it in the same
manner that one can do so with renderable text.

1. Searchable Image gives you the OCR text and keeps the image (tweeked somewhat).
2. Searchable Image (Exact) gives you the OCR text and the image (no tweeks).
3. Formatted Text & Graphics or Clear Scan gives you the OCR text which replaces the image.
This third option lets you correct suspect (spelling) words.
The OCR output from all three may be exported to a word processor where additional editing and formatting can be accomplished.
This might be a change of font type, etc.

The OCR from #1 or #2 can be manipulated using the TouchUp Text Tool. As the characters are in rendering mode 3 you'd
not "see" what you are doing directly. Using the Examine Document feature permits viewing Hidden Text which would let you
observe what you've done. imo, not all that practicable an approach... but, doable.
n.b., I don't know if Examine Document is available in Acrobat 9 Standard. If it is, you will
be able to locate it under one of the command menu choices.

You might want to play with Acrobat 9's "Clear Scan".
