How can I make a PDF/A file so that I can comment on it? (Acrobat 9)

I hope someone can help. I have Acrobat 9 and some of the people I collaborate with have Acrobat 7. We share PDFs of articles from medical journals and need to annotate them (underlining text, drawing boxes, etc). Sometimes I will receive a PDF from a coworker that appears as a PDF/A when I open it. In such cases, most of the Commenting tools are grayed out. However, it turns out that my coworkers with Acrobat 7 don't have this problem--it's not a PDF/A for them and they can mark it up just fine.

Is there any way I can turn off the PDF/A mode? I've browsed through the menus and toolbars trying anything that might work and I am officially stumped. I'm pretty much a novice with Acrobat--I only use a few features--so please go easy on me when you try to explain.

Thank you so much for any help you can give.

One of the easiest things you can do is to use the PDF Optimizer to save your PDFs to an older version.

Go to the File>Save As dialog box and select Adobe PDF Files, Optimized. Then in the PDF Optimizer window, look in the top right section where is says: Make compatible with: and choose Acrobat 7 and later from the drop down box.Complete description here:

I wouldn't advise using PDF Optimizer - you don't want to alter the PDF file, you simply want to stop Acrobat using PDF/A Mode. That is set in Acrobat's preferences:

Menu - Edit - Preferences - General (or Ctrl-K)

Select Documents from the list on the left.

Under "View documents in PDF/A Mode" select "never".

Click OK and open your file - all the commenting features will be available.

Thank you both so much. I tried UVSAR's suggestion, as it seems simpler and should work across documents. It worked splendidly! I can't tell you how much this helps me.

Again, I appreciate how quickly both of you helped. I think I'm going to make a New Year's resolution to finally learn how to really use Acrobat.

Be aware that turning OFF that option will also mean that the PDF/A files will NOT render correctly as per the PDF/A standard - that's why the setting is ON by default. We recommend that you ONLY turn it off if you need to circumvent the archival nature of the document on a case-by-case basis.

Thanks, Leonard. That makes sense--in fact, I was kind of wondering about that. I will turn it back on now that the present 'crisis' is over. Thanks for your help.
