Help converting hyperlinks within a diagram into PDF

Hello,

I have 8 large word files, each containing 4 diagrams. Within each diagram is 2-3 blank text boxes in front of the image, used to link it to other sections of the document. However when I convert the file into a PDF, these links do not work. Links that are connected to text work fine, and all the correct settings are active.

Is this a limitation of Acrobat - it will not convert hyperlinked auto shapes or text boxes? It will only convert text links?

I just need some advice before I spend hours having to manually insert links into the PDF.

Thanks!

David,

What version of Word are you running?

Check this for me:
Click Acrobat tab on the menu ribbon (or go to the Adobe PDF menu in older versions)
Click Preferences
In the Settings tab and check that “Fully Functional PDF” and “Add Bookmarks are on
In the Bookmarks tab check “Convert Word Bookmarks”

If this isn't the issue there may also be a fix by creating cross-references instead of bookmarks (which you can use find & change to fix)

Hi Kelly,

I have Word 2003.

I tried to look at the settings you have suggested, but I cn't find anything for 'Fully Functional PDF". I do have 'Add Links" and "Create Bookmarks" on.

I'm unsure what to do, and I am relucant to use an elaborate work-around, if it ends up being as time-consuming as manually adding links into a PDF.

Is what I'm asking to do even possible? This feature is a request of someone else for me to do.

Cheers!

Fully Functional PDF is an option under the Settings tab (just below Application Settings), I'll have to launch Word 2003 to be sure it is there in that version.

It looks like there may be some documented issues with text boxes that are linked not carrying over to the PDF. I'm still researching it to see if there is a simple fix. Some of the issues seem to be related to the boxes stacking order and wether or not they overlap. I'll get back to you...

In the PDF Settings, do you have "Enable Accessibility and Reflow with tagged Adobe PDF" on?

Hey Kelly,

I didn't have "Enable Accessibility and Reflow with tagged Adobe PDF" on. I did some testing with it on, but it didn't solve the problem.

David,

If one of the files isn't confidential, could you upload it to my personal iDisk site, so that I can test? http://public.me.com/kmccathran

Hi Kelly,

sorry but that isn't possible. I've returned to the author and asked them to consider alternatives to PDF, such as a HTML file or a protected Word.

I just want to say thanks for all the help you have offered me. Its great to know that there are people out there willing to help :-)

If you ever find yourself in Melbourne (Aus) I owe you a coffee.

David,

No problem at all. I wish I could have been more help. I know you can build the links after the fact in Acrobat, but that defeats the work done in word. I still might do some testing with a file of my own, to confirm if text boxes & word art link in the PDF without issue. I typically do only text based links and Bookmarks automatically created from a Table of Contents & Word Styles.Australia is on my short list of places I'd love to visit :)

Hello,
I too am having a huge issue with converting an organizational chart in Word to pdf. I have stripped the org chart and created individual test boxes for each individual box. When I convert to pdf, some work, some do not, and some point to a totally different bookmark in the word document. Has anyone been able to find a solution?
Thx, Rose

Rose,

Can you give me more detail. Are you using PDFMaker in Word to create the PDF, if so, are you set to use the High Quality Print Settings (instead of the default Standard) settings.Have you tried Printing to the Adobe PDF Printer? (Again changing the settings to High Quality Print, by right-clicking on the Printer and choosing Printing Preferences). This method won't include the Bookmarks, but you can re-build them in Acrobat. What version of Windows, Office and Acrobat are you running?I have had some Word users fix Bookmarking problems by re-installing Word...
