Text That Moves After Conversion

I convert multiple Excel Spreadsheets into multiple PDFs. Everything looks fine. I then combine them into one pdf file.

At some point some of the pages become corrupted. Some text gets moved on the page. In other words, text might drop down on top of other text or it even might drop down half the page. What is causing this and how can I prevent it?

I am using Acrobat Professional 7.0.5 on Windows 2000

In the conversion settings for creating PDF are you allowing "reflow for accessability"?

Also have you setup the page for the Acorbat PDF printer?

I convert the Excel files by going thru the Excel Print menu and selecting Adobe PDF as the printer.

When I look at my settings for Adobe PDF as the printer I do not see anything that says "reflow for accessability".

If you use the "Print" menu option or "Printer" button you are printing to a virtual printer that prints to a file just like printing to paper.

The "reflow" is a conversion option, not a print option. If you look at the Excel or other MS Office application's toolbar, there will be one or more PDF Icon buttons and there should be a menu bar option of "Acrobat". These connect to a series of MS Office macros that will convert an MS Office application file to a PDF. Conversion can involve more than printing to paper or other media. Conversion includes creating active links, bookmarks, animations, tags for aiding users with visual disabilities, etc.

Yes, I am aware of the PDF toolbar. However we never use it as the instructor in the Acrobat class I took said to always do it through the print menu and not the toolbar.

I don't remember the exact reasons, but I believe she said there were less problems this way.

Also have you set the printer for the Page Setup to be the Adobe PDF printer?

Different printers have different print areas and applications modify the print out for the printer's margin. Or you could just modify the column width and height to achieve the result you require.

As for not using the PDF Maker, I have Word file with over 200 links that link to individual files over 20 different directories and has 20 bookmarks. The pdf created is posted to 2 different locations and optionally is distributed on a CD-ROM, I do not edit the links or add the bookmarks because I use the PDF Maker to add all that content and reedit it for final location or use. The last time I had to edit all the links and bookmarks, it took me over 4 hours and not having to edit those items makes me more productive for my employer. Yes there are lot of options, but those options are there to meet end user requirements and the creator of the PDF should be aware of them or at least the ones that affect their use.

I have it set for the printer I print out a hard copy with.

So far my work around is to delete the affected pages and insert the separate pdf file (page) again.

I know very little about Acrobat as I only do this once a year in order to get a document on our web page.

I didn't have this problem when I was using Acrobat 6.

It sounds like you have empty columns and rows in the defined print area or active worksheet area. So reset the print area to the portion of the worksheet you want converted and if possible delete the rows and columns outside of the area you want printed or hide the unwanted rows and columns.

I do delete the columns and rows oustide of the desired print area.

However I don't set the print area, so I could try that. Also there are blank rows and columns with in the desired print area that are used for spacing.

At this point I have manged to complete my PDF conversion project using the delete/insert page work around as described in my previous post.

I'm going to print out this topic so I can remember to try setting the print area and see if that helps.
