How do I find and update "change converson settings to export comments

I'm trying to export comments with checkmarks in a draft. However, I can't do so because I got the following error message:
When the PDF was created, the content in it was not Tagged. Exporting comments into a Word document will only work if the PDF is a tagged PDF.
To creae a tagged PDF, you must select "Change Conversion Settings" from the "Adobe PDF" menu, and check the box labeled "Enable accessiblity and reflow with Tagged PDF".

I can't find the "Adobe PDF" menu; I can't find any help information on changing conversion settings, and I don't understand how to tag this PDF.

The PDF was created by a coworker who no longer works for the company. The PDF has hundreds of editorial comments, and the creator of the document (the person no longer with the company) marked many of the comments with check marks to denote that the work was complete.

Bottom line: I have access to her computer but I need to export those comments in the PDF with check marks so other writers working on the editorial changes can see which ones were already handled.

Any help is much appreciated!

"Change Conversion Settings" and "Adobe PDF" refer to Acrobat's Adobe PDFMaker which is integrated into MS Office applications when Acrobat is installed.
In Word 2007, there would be an Acrobat Ribbon.
In earlier release of Word, there would be an "Adobe PDF" entry in the menu line.


Adobe PDFMaker can be configured to provide Tag management for a Tagged output PDF.
Tagged output PDF is what supports facilities such as Export or Accessibility.


It appears that you have PDFs that are not Tagged.
Using Acrobat Pro you can manually tag PDF files.
Acrobat Pro also provides an "Add Tags to Document" feature.
However, any PDF page content that is other than a reflection of very simple content will require additonal manual work in the Tags pane (manual editing, creation, etc. of PDF elements ("tags").


Once the actual PDF page content is properly "tagged" one can address annotation fields and form fields that exist (these are separate from the PDF page content).


A reasonablly well-formed Tagged PDF can be Exported to MS Word and require only a reasonable amount of clean up. A "spot-on" Tagged PDF, when exported, will call for little clean up.


So, the first step would be to manually work the PDF file(s) to provide well-formed Tagged PDF.
It can be done. It does take time. If attempted - do know that edits to a PDF strucuture tree have no "undo". Save As often.

Thanks for your response. I'm trying to picture what I need to do. Right now, the writers that I work with use a program called ID Workbench (IDWB). They work with DITA files. One of the program options is File> Generate PDF, which automagically creates a PDF as the output. It's all done under the covers and the PDF is generated automatically.I have a PDF with hundreds of editing comments in it. Some of the comments were "checked" by the writer who resolved certain comments. (The writer no longer works for the company.) So, we're trying to figure out how to see the check marks that the writer added to know where to continue the work to resolve the remainder of the comments.

So, I'm back to sqare one: When should a PDF be tagged? How do I tag a PDF that has no comments (based on the fact that we automatically generate PDFs through the IDWB tool)? How do I tag a PDF that has hundreds of comments? Each comment has to be tagged separately? I've found it extremely difficult to find out how to do this manual task within the Acrobat documentation.

Best practice would be when the source/authoring application is processing out content that is to become the PDF.
This authoring application would use adequately robust "tag management" to accomplish this.

I suspect IDWB does not provide any upfront "tag management".
It may not be able to output Tagged PDF.
(Typically, applications that support Tagged output PDF have a "make accessible" feature as Accessible PDF is one of the facilities of Tagged PDF.)
If that is the case then, if Tagged PDF is needed, the PDF will have to be tagged appropriately using Acrobat Professional.
That would include each annotation (comment).


As to "documentation" - Tagged PDF is a "universe" of its own - the generic Acrobat Help does provide an informative overview but "how-to" is something else.
The preponderence of information, for tagged PDF, is associated with Accessible PDF. The useful documents span from Acrobat 5.x through Acrobat 9.x.
While there is some overlap of discussion, there are unique "need to/good to" know tidbits in each.

I'd placed links to Accessible PDF documentation I'd located and downloaded to my "eLibrary".

Remember - Tagged PDF supports not only Accessible PDF but Export with format/layout/font info - etc.
So, if one can "do" Accessible PDF then the Export part of it falls in place.
